Most startups describe their voice with vague adjectives like innovative, friendly, and professional. That is not a voice system. This template forces you to define concrete rules that AI and humans can actually follow.

Brand personality in 5 rules

  • Rule 1: We sound like _____ (concrete reference, not adjective).
  • Rule 2: We never sound like _____ (anti-reference).
  • Rule 3: Our default sentence length is _____ (short/medium/long).
  • Rule 4: We use jargon when _____ and avoid it when _____.
  • Rule 5: Our content always includes _____ (proof, example, CTA, etc.).

Voice across channels

  • Blog: educational, deeper, backed by evidence. Longer sentences are OK.
  • LinkedIn: structured, professional, focused on insights and frameworks.
  • X / Twitter: sharper, faster, opinionated. One idea per post.
  • Product UI: clear, minimal, action-oriented. No marketing fluff.
  • Sales materials: confident, specific about outcomes, backed by data.

Words we use and words we avoid

  • We say: system, process, workflow, practical, concrete, evidence
  • We avoid: revolutionary, game-changer, cutting-edge, synergy, leverage
  • We describe features as: what they do, not what they are
  • We talk about outcomes, not capabilities

Good output vs. bad output examples

  • Good: 'This workflow reduces content production time from 5 days to 2.'
  • Bad: 'Our revolutionary AI platform leverages cutting-edge technology to transform your content.'
  • Good: 'Here is how to set up brand context in 10 minutes.'
  • Bad: 'Unlock the power of AI-driven brand synergies with our innovative solution.'

Context for AI generation

  • Feed this document to any AI tool before generating content.
  • Include 3-5 examples of approved content as reference.
  • Specify which voice channel the content is for (blog, social, product).
  • After generation, check output against the 5 rules above.

Tips for using this template

  • Do not write a brand voice document longer than 2 pages. If it is too long, nobody reads it.
  • Include real examples of good and bad content. Abstract rules are useless without concrete reference.
  • Update the document after every major positioning shift or audience expansion.
  • Test the voice document by giving it to someone who has never written for your brand. If they produce on-brand content, it works.
